ABOUT THE POSITION
Portage College has an exciting opportunity for a highly skilled administrative support to provide a wide range of administrative services to the Dean of Foundational Learning, University Transfer and Arts & the Director of Applied Research.
Some of the responsibilities include:
- Provides daily administrative support to the Dean of Foundational Learning, University Transfer and Arts and the Director of Applied Research.
- Provides daily administrative support to Program Coordinators.
- Manage calendars, arrange travel, coordinate vehicle bookings, and schedule meetings for leadership and academic teams.
- Manage finance processes within Dean and Director portfolios.
- Maintain and track student records related to attendance, progress, registration, course changes, and withdrawals.
- Provide logistical and administrative support during program orientation, intake, and practicum periods.
- Provide information and guidance to internal staff on college protocols, procedures, and administrative processes.
- Reception, word processing, data entry, responding to general inquiries, meeting minutes, phone follow-up, records management and creating reports.
QUALIFICATIONS AND EXPERIENCE
- Diploma or certificate in office or business admin plus a minimum 2 years of experience working in an office admin role.
- Must be proficient with computers, especially MS Office.
- Strong skills in organization, data entry and customer service.
- Effective verbal and written communication skills are essential.
- Knowledge or experience working with Moodle and Unit 4 would be an asset.
- Demonstrated ability to work independently and provide sound decision making.
- Successful applicant will be required to provide a current police information check.
