ABOUT THE POSITION

Portage College has an exciting opportunity for an experienced administrative support to work with the College’s Infrastructure and IT team. Reporting to the Director, Infrastructure, this position performs a wide range of administrative duties, including:

  • Receive and review invoices, contacts suppliers, contracted services or lease space providers regarding invoice discrepancies, make payments using VISA or forwards invoices to Accounts Payable. Reconciles VISA statements for staff in department and posts invoices into College’s ERP system.
  • Assist with financial reporting.
  • Review maintenance/infrastructure requests from College staff, prioritizes based on urgency and refers requests to appropriate Infrastructure employee or contracted service provider.
  • Perform a variety of office duties for Director, Infrastructure and IT and unit staff, including word processing or letters and reports.
  • Perform a variety of office duties, including reception, telephone, photocopying, key issuance and control, and opening, stamping, and sorting mail.
  • Creates and maintains records and spreadsheets for utility payments and establishes and maintains other records as required.
  • Contacts suppliers and orders materials and supplies.
  • Other duties as required, including cover off for other administrative supports in area.


QUALIFICATIONS AND EXPERIENCE

  • Diploma or certificate in Office Administration or Business plus previous experience working as an administrative support.
  • Excellent verbal and written communication skills are required.
  • Strong skills in organization, customer service, data entry and telephone etiquette.
  • Must be self-directed and able to prioritize workload with little or no supervision.
  • Proficient with computers, especially MS Office.
  • Sound knowledge of records management.
  • Successful applicant will be required to provide a current police information check.
