ABOUT THE POSITION
Portage College has an exciting opportunity for a highly-skilled administrative support to work as a Student Records Clerk at the Lac La Biche campus. Responsibilities include:
- Provide customer service to students, staff and the general public.
- Reviews and processes incoming student applications accurately and within established service standards.
- Manage student records within the Student Information System (SIS), ensuring documentation is properly classified, stored, and maintained.
- Processes student record lifecycle activities, including file creation, acceptance-to-registration status changes, student exits, transfers, program completions, and file closures.
- Provides operational support across Student Records functions, including grade entry, automation review, program completions, and parchment issuance.
- Records final grades, prepares certificates, and supports credential issuance upon successful program completion.
- Processes requests for transcripts, enrollment confirmations, and other official documents in accordance with institutional policies and procedures.
- Document requests according to POPA guidelines.
QUALIFICATIONS AND EXPERIENCE
- Diploma or certificate in office or business administration. Equivalence may be considered.
- Previous experience in administrative support role, preferably at a post-secondary institution.
- Several years’ experience in a role with high-volume data entry with the ability to ensure accuracy and problem solve.
- Must be proficient with computers, especially MS Office.
- Strong skills in organization, data entry and customer service.
- Effective verbal and written communication skills are essential.
- Knowledge or experience working with Moodle and Unit 4 would be an asset.
- Demonstrated ability to work independently and provide sound decision making.
- Successful applicant will be required to provide a current police information check.
