ABOUT THE POSITION

Portage College has an exciting opportunity for a highly skilled administrative support to provide a wide range of administrative services to the College’s Aircraft Maintenance Engineering Structures, Continued Education, Electrical, Marketing, Work Integrated Learning and Teaching & Learning programs. Some of the responsibilities include:

  • Work closely with program coordinators and faculty to ensure efficient and effective delivery of programming.
  • Record, track and monitor student information, including attendance, grades, withdrawals and program progress.
  • Perform reception duties, word processing, data entry and general administrative tasks such as responding to inquiries, conducting phone follow-up, records management and compiling and creating reports.
  • Support inventory management by ordering, tracking and distributing office and program supplies.
  • Provide exam invigilation, course outline management, and curriculum and exam support.
  • Assist with student recruitment, admissions and intakes.
  • Support student-related events such as Orientation, Convocation, and other program activities

QUALIFICATIONS AND EXPERIENCE

  • Diploma or certificate in office or administration or a related field. Equivalencies may be considered.
  • Minimum of two years’ experience working in an administrative support, preferably in a post-secondary environment.
  • Must be proficient with computers, especially MS Office.
  • Strong skills in organization, data entry and customer service.
  • Sound knowledge of records management and FOIP guidelines.
  • Basic understanding of accounting and control techniques and processes.
  • Experience or familiarity with WIDS, Moodle, and Unit 4 would be an asset.
  • Effective verbal and written communication skills are essential.
  • Demonstrated ability to work independently and provide sound decision making.
  • Ability to adapt to flexible work schedule; some evening work may be required.
  • Successful applicant will be required to provide a current police information check.
