ABOUT THE POSITION

Portage College is seeking a detail-oriented and proactive Student Accounts Specialist to join our team. Reporting to the Director of Student Services, this role involves managing private partner and domestic student accounts, overseeing out clearances, and coordinating payment arrangements. You will be responsible for tracking payment deadlines, following up on outstanding payments, and collaborating with the Finance Team on collections. Additionally, this position will support the implementation of the new SIS ERP system, assisting with system-related tasks as needed. Some of the responsibilities include:

  • Assist in creating, updating, and maintaining student/private partner accounts, ensuring accurate billing and timely reconciliation with private institutions.
  • Monitor payments, refunds, and payment plans, ensuring compliance with deadlines and policies.
  • Handle outstanding account follow-ups, collections, and escalate unpaid accounts to the Director of Student Services/Registrar.
  • Manage student out clearance forms and post account adjustments as needed.
  • Review program intake fee audits, process invoices, and maintain timely invoicing throughout the year.
  • Respond to inquiries regarding billing, tuition charges, and account balances.

QUALIFICATIONS AND EXPERIENCE

  • Post-secondary diploma in Business or Accounting. Equivalencies may be considered.
  • Two years’ experience in a post-secondary environment preferred.
  • Detailed knowledge of the programs, services, policies and procedures of the College would be considered an asset.
  • Proficiency in Microsoft Office (Excel, Word, and Outlook).
  • Excellent communication, multitasking, and organizational skills with a strong attention to detail.
  • Ability to work independently, manage deadlines, and remain flexible with evening and weekend hours during peak times.
  • Successful applicant will be required to provide a current police information check.
